That core loop — receipt in, reimbursement out — is what it has done since 2008, and it is still the reason most people sign up.

Expensify is effectively two products with one name. Expensify Classic is the original app that built the company's reputation; New Expensify is the rebuilt platform that gets all the new development. Expensify's own Q2 2026 shareholder letter describes Classic as a profitable workhorse with a "stable but slowly shrinking customer base" and states that the company's growth depends on migrating the last Classic customers onto New Expensify.
That matters to you for two practical reasons. First, when you read a review or a forum complaint, check which product it is about — they behave very differently, and a lot of "Expensify is slow now" criticism is specifically about the New Expensify interface. It does not include approvals, payments, company cards, the Expensify Card, per diem, travel, invoicing or accounting integrations.
Collect — ~$5 per unique member/month, pay-per-use only. This is the current price for organisations whose first workspace was created on or after 1 April 2025. There is no annual commitment and no discount needed: it is a flat $5. It includes unlimited SmartScans, distance tracking, expense approvals, ACH reimbursement, corporate card management, travel booking and rules, Bill Pay and invoicing, and QuickBooks Online and Xero integrations. Collect is pay-per-use only — you cannot buy it on an annual subscription.
Control — ~$18 per member/month on annual, or ~$36 pay-per-use. The annual model is different from a simple per-seat price: you commit to a subscription size and pay $18 per member included in that size every month for 12 months, plus $36 per active member above your subscription size. Pay-per-use with no commitment is $36 per active member/month. Control adds multi-level approvals, custom expense rules and automation, ERP integrations (NetSuite, Sage Intacct), HR and payroll integrations, multiple corporate card connections, SAML/SSO and deeper admin controls.
With the Expensify Card: Control as low as ~$9 per member/month. Control annual pricing is discounted according to the share of your workspace's approved USD spend that runs through the Expensify Card, up to a maximum of 50%. At full discount, $18 becomes $9 for committed members (and $36 becomes $18 for overage members). Expensify's card page summarises this as putting at least half your spend on the card to get 50% off. Only Control workspaces qualify for the discount.
Legacy Collect pricing (workspaces created before 1 April 2025) — ~$5–$10. Older organisations remain on the previous model: annual at $5 per member included in your subscription size plus $10 per active member above it, or $10 per active member/month pay-per-use, billed on active rather than unique members. If you have been on Expensify for years, you may not be on the headline $5 rate — check your plan settings.
Localised pricing. Expensify publishes fixed regional prices rather than converting the US dollar figure, so the numbers do not track the exchange rate: UK Collect ~£5, UK Control ~£14 (as low as £7 with the card); EU ~€5 and ~€16 (as low as €8); Australia ~AU$8 and ~AU$30 (as low as AU$15); New Zealand ~NZ$9 and ~NZ$32 (as low as NZ$16).

What you get free, with no workspace at all:
What a free Submit workspace adds: categories and tags so your expenses are coded, the ability to create and submit reports, and the option to send a report to an approver's email address even if they never create an Expensify account — or to download it as a PDF and hand it over manually. Colleagues on your email domain can join the same Submit workspace and configure it together, though they cannot see each other's expenses.
What the free tier does not include: approvals, payments and reimbursement, company cards, the Expensify Card, per diem, Expensify Travel, invoicing, and every accounting integration. Those are the paid features, and they are the reason most companies end up on Collect at around $5 per member per month. Note also that upgrading is one-way — once a Submit workspace becomes Collect or Control, Expensify does not let you convert it back to Submit.
If free approvals are a hard requirement, look outside Expensify: Zoho Books and Zoho Expense both have free tiers for very small businesses, Wave is free cloud accounting, and GnuCash or Manager.io are free desktop options if you would rather keep the data on your own machine.

It depends on whether your spending happens on a company card. Ramp and Brex are built around card-first spending: transactions arrive in real time, receipts are matched automatically and there is often no expense report to submit at all, and both start at $0 per user per month. Expensify is stronger when the problem is out-of-pocket reimbursement, mileage claims, cash expenses and approvals for staff who pay with their own money, and it is genuinely good at receipt capture on a phone. Expensify also works outside the United States, with reimbursement supported to the US, Canada, the UK, the EU and Australia, while Ramp and Brex are primarily US products. If most of your spend already runs through a card program, compare Ramp first; if your team mostly claims expenses back, Expensify is still a fair choice.
Zoho Expense is the closest free swap for a team, free for up to three users with twenty AI receipt scans per user per month and paid plans from about $3 per user per month billed annually. Expensify's own free Submit workspace is the cheapest way to capture and submit expenses if someone else will approve and pay them. For the accounting side rather than expenses, Wave offers free cloud accounting and invoicing, GnuCash and Manager.io are free desktop options that keep data on your own machine, and Invoice Ninja is open source with a free self-hosted tier. Each one gives up approvals, corporate card controls or accounting integrations in exchange for costing nothing.
